PDF export settings in Digital Showroom let you control the default behavior when end users generate PDF documents from a portfolio. You can set the default product sort order and upload a cover PDF that appears as the first page of every export.
Before you start
- You need Administrator access to Digital Showroom.
- The portfolio you want to configure must already exist. See Create a portfolio if you haven't created one yet.
Set the default product sort order
The product sort order in Digital Showroom determines how products are arranged in the generated PDF. You set the default here; end users may be able to adjust the sorting when they create their export.
- In Digital Showroom, go to Admin > Portfolios and click the portfolio you want to configure.
- In the left sidebar, click Export Settings.
Under Product sort order, open the dropdown and select your preferred default sort:
- Selection order — Products appear in the order the user selected them
- Alphabetical (A-Z) — Products sorted by label, ascending
- Alphabetical (Z-A) — Products sorted by label, descending
- By category (A-Z) — Products sorted by category name, ascending
- By category (Z-A) — Products sorted by category name, descending
Click Save to apply your changes.

Selection order is a good default when your users carefully curate their product selections. Alphabetical (A-Z) works well when users export large batches and want a predictable order.
Upload a cover PDF
In Digital Showroom, you can upload a PDF file that will appear as the first page of every PDF export generated from this portfolio. This is useful for adding a branded cover page, a table of contents, legal disclaimers, or any introductory content.
- In Digital Showroom, go to Admin > Portfolios and click the portfolio you want to configure.
- In the left sidebar, click Export Settings.
- In the Cover PDF section, click Select file.
- Choose a PDF file from your computer. The file must be no larger than 10 MB.
- After the upload completes, a thumbnail preview of the first page appears.
- Click Save to apply your changes.

Only PDF files are accepted. If you attempt to upload a different file type, an error message appears.
Replace or remove a cover PDF
To replace an existing cover PDF in Digital Showroom, upload a new file in the Cover PDF section. The previous cover is replaced automatically.
To remove the cover PDF entirely:
- Click Delete next to the cover preview.
- Click Save to confirm the removal.
After removal, PDF exports from this portfolio no longer include a cover page.
How end users experience PDF exports
When an end user creates a PDF export from a Digital Showroom portfolio, the settings you configure here serve as defaults:
- The product sort order you set becomes the default sorting for the export.
- The cover PDF, if uploaded, is automatically prepended as the first page of every generated PDF.
Completed PDF exports are available for download for 30 days after they are generated. After that, the export expires and can no longer be downloaded. End users must regenerate the export if they need it again.
