Supplier Access from the Supplier Side
Now that suppliers have access to your Supplier Data Manager via a dedicated access, they can share their product information with you easily and quickly. They will be able to share 2 types of product information:
- Product files
- Media files
When dropping media files, it is recommended to add a column in their product spreadsheet with the media file name for each product row (there can be multiple media per product row) so the system will automatically link the media and the associated products. See below in Sharing product files & media section
Share Product Information
Welcome your suppliers!
On the left part of the page, Suppliers can visualize any recommendations/notes that you want them to be aware of.
- A text area displays your message: you have customized this area from your SDM Configuration settings
They can also download any documents that you want them to have (cf. related accepted formats).
- It can be your own template of product file that you want them to fill in, but also legal notice, specific recommendations…
Sharing product files & media
On the right part of the Share section, in the Upload section, your suppliers have 2 ways to submit their product files:
- Drag & drop 1 product file in the dedicated box
- Select the Upload file button and choose the files to be sent
Then click on “CONTINUE”
The media step is optional, you can skip it. Please note that media cannot be shared without a product file. This product file needs to have at least 2 information to map the media and their associated products:
- One column for your product identifier (e.g.: product ID, SKU…)
- One column for your media files references (e.g.: my-wonderful-media.png)
Make sure these columns are in the previous dropped file at the last step. You can add several media for the same product and separate the name with a comma. Do not forget to add the media extension (e.g.: .png or .jpeg).
Keep track of the submitted information
File history overview
From the section History, your suppliers can review all the submitted files. It will help them monitor their activity and file sharing.
To help them navigate through all the submitted files, they can filter per file name, period of drop or filter on the file Status.
Your suppliers can only access the jobs they have started.
- If you have assigned them only the “Import” action then they will automatically see from the History menu the DOWNLOAD button of their file.
- However, if you have assigned several steps to proceed then they can EDIT their job, if not finished, from this section.
Suppliers cannot access your output file, the one that went through the remaining steps of your workflow.
