Export Products to PDF and XLSX

Summary

Digital Showroom lets you generate PDF or XLSX documents from your product selection, making it easy to share product information with colleagues or clients offline. You can select up to 100 products, give your export a name, and generate a ready-to-download export in just a few steps.

Select Products

Before you can create an export, you need to select the products you want to include.

  1. Go to the product gallery for your active portfolio.
  2. Use the checkboxes on each product card to select the products you want to export. You can select products individually or browse through categories and add them as you go. You can also click Select all above the product grid to select every visible product at once; the button becomes Clear selection so you can deselect them all just as quickly.
  3. As you select products, a selection banner appears at the bottom of the screen showing how many products are currently selected (e.g., "3 products selected").
  4. When you are satisfied with your selection, click Export selection in the selection banner.

Note: You can only select simple products or variant products. Selecting a product model for export is not available. When products are grouped by model in the gallery, open a model and select individual variants from there.
Note: You can select up to 100 products per export. If you reach the limit, you will not be able to add more products until you remove some from your selection.
Tip: You can clear your entire selection at any time by clicking the trash icon in the selection banner and confirming the action.

Configure Your Export

Once you click Export selection, you are taken to the Export Products page where you can review and configure your export before generating it.

  1. Review the list of selected products displayed on the page. You can remove individual products from the selection if needed.
  2. Enter a name in the Export name field. A default name based on the current date and time is pre-filled, but you can change it to something more descriptive (e.g., "Spring Collection 2026" or "Client meeting - March").
  3. Select the export format: PDF or XLSX.
  4. Click Export PDF or Export XLSX to start the export.

Note: The export name is required. You cannot generate an export without providing a name.
Note: XLSX exports are generated by your Akeneo PIM. If your PIM connection is missing the required permissions, you'll see an "Excel export unavailable" message, and your administrator will be notified automatically so they can update the app's permissions in the PIM.

What Happens Next

After you click Export, Digital Showroom processes your export in the background. You do not need to stay on the page — feel free to continue browsing products, switch portfolios, or perform other tasks while the export is being generated.

PDF

The PDF is generated based on your portfolio's configuration:

  • Product sorting: Your administrator configures a default sort order for exports. Products can be sorted by selection order (the order you selected them), alphabetically by label (A-Z or Z-A), or by category (A-Z or Z-A).
  • Cover page: If your administrator has uploaded a cover PDF for the portfolio, it will automatically appear as the first page of your export.
  • Product details: The PDF includes the product attributes configured by your administrator, such as featured attributes, images, and other product information.
  • Locale: The PDF uses the catalog locale that was active when you generated the export, so product names, descriptions, and attribute values reflect that language.

XLSX

The XLSX file contains the attributes your administrator selected for exports in the portfolio's Export Settings — the same attribute list used for PDF exports. Product sorting and cover page settings apply only to PDF exports and have no effect on XLSX.

  • Products: Only the products you selected for the export. One line per product.
  • Column headers: The attribute name for each selected attribute.
  • Column values: The product's value for that attribute.
Note: If your XLSX export includes attributes with linked assets (such as images or documents), the download will be a ZIP file containing the XLSX file and the asset files, instead of a single .xlsx file. This only applies to XLSX exports — PDF exports always download as a single PDF file.

Once the export is complete, you can find it in the My Exports page. See Manage Your Exports for details on downloading and managing your exports.
